We are delighted, and have also been overwhelmed, by the response to our first announcement, in which we advertised the conference on "Starbursts -- from 30 Doradus to Lyman Break Galaxies", to be held in Cambridge (UK) from 6-10 September 2004.
At the time of writing, we have already received more than 230 preliminary registration requests, of which some 60 per cent indicated that their attendance is "definite". Unfortunately, this exceeds the capacity of the lecture theatre at the University of Cambridge's Institute of Astronomy by more than 50 seats, if everyone of you were to come.
In addition, the vast majority of you have indicated that you would like to present your results in the form of a contributed talk. In order to facilitate a situation in which as many of you as possible can indeed give contributed talks, we have decided to allocate 20 minutes (including discussion time) to all invited and contributed talks, and 30 minutes to the review talks opening each of our eight sessions. However, even in this case we can only allocate 45 contributed talk slots.
We will therefore have to make some difficult decisions. In order to help the Scientific Organising Committee, we ask that if you would like to be considered for a contributed talk slot, you submit a talk title and full abstract to us
The abstract submission form will also require you to indicate which of our proposed sessions would be most appropriate for the topic of your contribution. After the 30th of April, we will collate all abstracts, and send them to the SOC members responsible for each of the sessions.
YOU WILL THEN BE NOTIFIED BY 18 MAY 2004 AS TO WHETHER YOUR PROPOSED CONTRIBUTION HAS BEEN SELECTED AS A CONTRIBUTED TALK.
==> Our final registration will open on 27 May 2004 <==
In practice, this means that:
(i) if you were selected to present a contributed talk, and you would like us to arrange accommodation for you, you can submit an accommodation request.
ACCOMMODATION REQUESTS WILL BE DEALT WITH ON A FIRST COME (and pay) FIRST SERVE BASIS.
(ii) if you were not selected for a contributed talk, intended to present a poster all along, or perhaps nothing at all, this is the time that you will need to register and submit your registration fee payment. And again, if we need to book your accommodation for you, we will need to know this as soon as possible as well, as also in this case
REGISTRATION AND ACCOMMODATION REQUESTS WILL BE DEALT WITH ON A FIRST COME (and pay) FIRST SERVE BASIS.
You will find the final registration form on the conference web site from 27 May 2004.
In both cases, your registration and accommodation will be final only after your payment details have been received and cleared. In all cases, the payment deadline will be on 30 June 2004.
The Royal Astronomical Society has kindly provided us with a grant to support YOUNGER UK and/or European researchers. If you would like to request financial assistance (which will consist of a fee waiver and a 50 per cent contribution to the accommodation costs), you should indicate this on the abstract submission form.
So, what to do now??
(1) If you would like to give a contributed talk, fill out the abstract submission form (see http://www.ast.cam.ac.uk/meetings/starburst2004/) BEFORE 30 APRIL 2004;
(2) If you would like to receive financial support, tick the box on the abstract submission form;
(3) If you would like to present a poster, or perhaps nothing at all, we will be accepting your final registration from 25 May 2004.
(4) The final deadline for your payment to reach us and clear is 30 June 2004.
We hope to see many of you in Cambridge in September!
On behalf of the LOC,
Richard de Grijs
